Error Message: Employee is not found
Similar to the EN010 elections file error, during contributions file processing, the system uses Employee ID and Email as identifiers. The identifiers included in the contributions file must match those sent in the pre-tax demographics file and employer-sponsored demographics file, if applicable. The error will occur if:
- You have more than one employee sharing the same Employee ID and have different emails.
Consider this scenario: In Forma’s system, Employee ID 123 is linked to both john.doe@company.com and jane.doe@company.com. Even if a contribution record lists 123 as the Employee ID and john.doe@company.com as the Employee Email, an error will occur. This is because the system does not know if the information should be attributed to John or Jane, given the shared Employee ID.
- The Employee Email does not match the email associated with a given Employee ID in Forma.
Consider this scenario: In Forma’s system, Employee ID 123 is linked to john.doe@company.com. However, if a contribution record indicates 123 as the Employee ID and johndoe@company.com (missing the period between first and last name) as the Employee Email, an error will occur. This is because we anticipate john.doe@example.com in the Employee Email field within the file.
- The Employee ID does not match the email associated with a given Employee Email in Forma.
Consider this scenario: In Forma’s system, Employee ID 123 is linked with john.doe@company.com. However, if a contribution record indicates 1234 as the Employee ID and john.doe@company.com as the Employee Email, an error will occur. This is because we anticipate 123 in the Employee ID field within the file.
- Incorrect Company ID
Company ID is an optional field whose value is provided by Forma. Your company will have a unique Company ID. If the assigned Company ID is company_ai but the company ID in the file is COMPANY_AI, you will see an error. This field is case sensitive. Your company ID will always be all lowercase. For example, be careful not to use capital I (i) as a lowercase l (L).
