If you need to make funding adjustments to employee accounts outside of the scheduled renewal period, you can do so by uploading a Balance File. This file allows you to manually update account balances as needed. Common reasons for submitting a Balance File include:
- Starting your Forma program mid-year and wanting to provide employees with additional funding for the months prior to go-live
- Updating funding amounts due to market fluctuations
- Providing carryover funds from a previous program
Each Balance File is specific to a single account. If you'd like to make funding adjustments to multiple accounts, please create separate files for each. Only include employee records who have funding adjustments to be made.
Download a copy of the Balance File Template and complete the fields. Save the completed file in .csv format, as this is the only file format the Forma system can accept.
Suggested naming convention:
[Company]_[account name]_BalanceFile_YYYYMMDD.csv
| Field Name | Format | Description |
| XXX@company.com | Work email address. Should match what Forma receives in the demographics file. | |
| Amount | Numeric 000 or 000.00 |
The adjusted amount in local currency. NOTE: The Forma system will not automatically make currency conversions. Do not include currency symbols. |
| Transaction_type | Credit, Debit, Reset, Reset_credit |
Credit = credits funds to an employee’s account Debit = debits funds from an employee’s account Reset = resets balance to zero regardless of the corresponding values in the amount column Reset_credit = resets account balance to zero then credits by the amount in the corresponding amount column |
| Note | XXX…XX | Optional. The note will appear in the transaction history and is visible to employees. The note will appear in all lowercase. |
For information on how to process Balance Files, see the article: Uploading Balance Files in Forma Admin
Important Notes:
- Balance files can only be processed once an account is live.
- Consider the maximum balance defined for your account. When crediting funds, the Balance File will override the maximum balance threshold. If maximum balance is reached, employees will not receive additional funding until they spend down their balance.
